Your event starts before the doors open.

Plan the invitation, the event experience and the follow-up together. Each part should give the next one a useful starting point.

  1. Choose the one thing to remember

    Agree what attendees should remember after meeting your team. Use that idea across invitations, presentations and collateral, giving each format a role in the same story.

  2. Work back from the meeting

    Define who you want to meet and why they would make time. Plan invitations around that reason, allowing for regional input, production and approvals.

  3. Think through the physical space

    Collect viewing distances, screen proportions and supplier specifications before production. Check how signage, screens and printed pieces work together across the actual venue.

  4. Prepare the follow-up early

    Prepare the resource or next step your team will send after a conversation. Plan how they will record enough context to make the follow-up relevant.

  5. Make the handover easy

    Create one approved asset list with owners, formats and delivery dates. Give the venue and event team clear filenames and contact details for last-minute questions.
